The Fred Hollows Foundation (ABN 46 070 556 642) and its subsidiary The Fred Hollows Foundation (HK) Limited, (‘we’, ‘us’, ‘our’ and ‘Foundation’) are committed to protecting your Personal Information.

Please read this privacy policy carefully as it describes how we handle your Personal Information.

We may revise this privacy policy from time to time by publishing a revised version on our website.  That revised version takes effect from the time it is published. By continuing to visit our website, participate in our activities or use our services (as applicable) after any amendments to this privacy policy, you are agreeing to the privacy policy as revised.


Collection of Personal Information


Personal Information
‘Personal Information’ is any information that can identify or be used to identify you that is in a processable form. We collect and hold Personal Information from our donors, supporters, volunteers, contractors, visitors to our field programs, and other individuals.

For example, if you are a donor, we collect and hold your name, address, e-mail address, phone number and credit card or bank account details.  From time to time, we may collect more detailed Personal Information such as when we conduct surveys, but the provision of more detailed information is entirely voluntary.

Collection
Most of the time, we collect Personal Information directly from individuals at the time they deal with us.  For example when a donation is made or our website is accessed, an email is sent to us.

You may from time to time provide us with a third party’s Personal Information. You agree that you have the third party’s consent to provide us with their Personal Information (which will be collected, used and stored in accordance with this privacy policy) prior to providing us with the Personal Information.

We do not knowingly solicit Personal Information from any person under the age of 18. If you are under 18, by submitting any Personal Information to us you agree that you have informed your parents or guardians about our privacy policy, and they have given their approval in advance for you to provide your Personal Information to us on the terms of this privacy policy.

Cookies
When our website is accessed, we collect Personal Information about the person accessing it automatically through cookies.  Information collected includes IP address and/or domain name; operating system (type of browser and platform); and the date, time and length of time visiting our website.  We use this information primarily for the compilation of statistical information about the use of our website and occasionally to inform our advertising decisions.

Website traffic

Our website may contain links to third party websites, and third party websites may also have links to The Foundation’s website. Our privacy policy does not apply to external links or other websites.  These third party websites may collect your Personal Information.  We encourage you to read the privacy policies of any website you visit via a link from our website.

Dealing with us anonymously
You may request us to deal with you anonymously or through a pseudonym.  We will accommodate your request if it is lawful and practical for us to do so.  For example, it may not be possible for us to process your donations or accept you as a volunteer if you do not provide the necessary Personal Information.

Use of Personal Information
We use your Personal Information primarily to:

  1. Process donations and provide receipts;
  2. Research, report and advocate to government, the public, donors, supporters about how funding monies and donations are used.
  3. Communicate and campaign about our blindness prevention and eye health activities, events, services and projects which we believe may be of interest (including through direct marketing emails, post, SMS messages and phone calls);
  4. Respond to questions, feedback or complaints;
  5. Recruit and manage staff, contractors and volunteers; and
  6. any directly related purpose to these activities and the objectives of the Foundation.


We may also ask for Personal Information for other specific purposes from time to time, but if we do, we will provide information about that purpose.
 
In some instances, if you decide not to provide Personal Information, we may not be able to conduct the activities or provide services to you.

Unless exceptions under the applicable privacy laws apply, we will only use Personal Information collected by us for the purpose for which it is collected. Disclosure of Personal Information

We do not sell your Personal Information to third parties, and except as outlined in this Privacy Policy, we do not make your Personal Information available to third parties.

We do not disclose Personal Information to other organisations unless we believe it is reasonably necessary to fulfil one of the purposes of use specified above on behalf of The Foundation, or you give your consent, or disclosure is required or authorised by law.

We use a range of suppliers, service providers, contractors and partners to enable the activities and functions of The Foundation who may be located and use your Personal Information outside of Hong Kong.  They include information technology service providers, direct marketing agencies, mailing houses, cloud storage, banks, credit card companies and recruitment agencies.

This means that organisations and individuals other than us may collect, access and use Personal Information held by us.  We require these third party providers through our agreements with them to comply with our security guidelines, data retention policies, applicable privacy laws and our privacy policy (or laws and policies to an equivalent standard).


Disclosure of Personal Information outside Hong Kong

We engage contractors located outside Hong Kong who provide services to The Foundation.  In our agreements with them, we seek to ensure that they are bound by privacy legislation, laws or binding schemes that impose similar standards on the use, disclosure, security and transfer of Personal Information as Hong Kong laws.  We also require such organisations to comply with our security guidelines and data retention policies in relation to data provided to them and our privacy policy. 
 

Security of Personal Information

We take reasonable steps to ensure the security of Personal Information by storing it in a secure environment. If contract service providers are used they are contractually bound to adhere to our privacy and security policies or establish that their policies are equivalent. 
Our electronic database is secured by a firewall and anti-virus software to ensure, so far as practicable, that it is not accessed by unauthorised parties. This website has security measures (minimum 128-bit secure sockets layer encryption) designed to protect against the loss, misuse and/or alteration to your Personal Information under our control. Secure pages on our website are protected by a 128-bit SSL certificate. A security icon visible on your screen, for example a padlock, confirms that your browser supports SSL security. Click on the security icon to verify the security certificate on this website.

However, all unencrypted information exchanged via the internet may be accessed and used by people other than those for whom it is intended, for example if you send us any Personal Information by email, it is sent at your own risk.
 

Online donations

Donations made online on this website are processed in real time using a secure payment gateway. Donations are processed in Hong Kong Dollars. 
 

Access to Personal Information

We take reasonable steps to ensure that Personal Information we collect, hold, use and disclose is complete, accurate, relevant and up-to-date. 

If you wish to have your Personal Information removed from our database, we will take reasonable steps to comply with your request unless we need to keep your information for legal, auditing or internal risk management reasons.  If we cannot delete the information we will quarantine it so it is no longer used by us.

You have the right to request access to and correction of your Personal Information that we hold. In order for us to successfully retrieve your records, please provide us with as much detail as you can about the particular Personal Information you wish to access or correct.  Please allow 7 days for us to process your request.

Privacy Officer

We have appointed a designated Privacy Officer who is responsible for investigating any complaints or concerns any person may have about our protection of their privacy. If we become aware of any ongoing concerns or problems concerning our privacy practices, we take these issues seriously and work to address these concerns. There are no fees for lodging a complaint.
